Customer places a domestic US order on Shopify containing one or more of the active Verafied SKUs handled by AP. Shopify records the order and determines fulfillment routing based on which location holds inventory for those SKUs.
Order is automatically routed to Anfex Promptly USNJ1. No manual action required — the system reads the SKU and assigns the order to the AP fulfillment location. International orders and Moda Operandi orders are excluded from AP's queue entirely and handled by the Verafied team directly, exactly as today.
Units are reserved immediately against AP's on-hand stock at USNJ1, preventing oversell across all channels. The order enters AP's fulfillment queue for the fulfillment team to process.
AP's fulfillment team picks, barcode-verifies, and packs using Verafied-approved materials and packaging standards. Every order is packed to Verafied's specification. No input required from Verafied's team at this stage.
Shipped with signature required and full shipment insurance on every package. Both are applied automatically to every label AP generates — no exceptions. The customer receives a Shopify-native tracking notification immediately upon shipment.
Shopify is updated automatically — order marked fulfilled, inventory deducted at the AP location only, customer's tracking number live. Your other Shopify locations and Moda Operandi integration are completely unaffected.

Verafied team handles
All international orders. Moda Operandi orders via Mirakl (fully unaffected by AP setup). NY Warehouse 1 fulfillment as before. Dumbo Showroom walk-in sales. Customer service and refund decisions. Shipsurance claims on NY Warehouse 1 shipments.
Process logic overview
Shopify is the source of truth for all inventory and orders. When a domestic US order comes in for an AP-handled SKU, it routes to AP automatically — no manual handoff needed. AP processes the order end-to-end and pushes fulfillment status and inventory updates back to Shopify at the AP location only. The Verafied team's own locations (NY Warehouse 1 and Dumbo Showroom) are never touched by AP's system. AP also serves as the NYC satellite hub for Verafied’s Showroom and in-house operations — coordinating movements to and from Verafied locations as part of the integrated fulfillment model. All channels — including Moda Operandi via Mirakl — continue operating without any change to their existing setup.

How AP and Verafied team communicate
Primary channel: Work chat (V, Michael, Vera — shared group). Cristal is the single operational point of contact between AP's fulfillment team and Verafied's customer service team. All RTS notifications, order questions, and inventory updates flow through Cristal to Verafied CS — AP does not contact customers directly. Tech coordination (Shopify, inventory sync, routing) is handled between V/Alex and Raymond.

Mixed orders
When a single order contains one AP SKU and other items AP does not hold, AP processes and ships the AP SKU line only. That line is marked fulfilled from Anfex Promptly in Shopify. The remaining items stay unfulfilled for the Verafied team to ship from their location as usual. No disruption to the customer experience.
Inventory location independence
AP's stock is held at USNJ1 only. NY Warehouse 1 and Dumbo Showroom inventory are fully separate — nothing AP does affects those counts. The Moda Operandi / Mirakl integration reads from NY Warehouse 1 only and is completely unaffected by AP's operations.

Most common cause
Customer unavailable to sign for delivery. All AP-processed orders require signature at delivery. Shopify-native out-for-delivery notifications are sent on every AP order to reduce missed deliveries. The returns and RTS workflow below is a proposed framework — final process, communication channels, and tooling to be confirmed jointly with the Verafied team during initial weekly ops calls.

Once inbound stock is confirmed received at USNJ1, AP updates the inventory count in the fulfillment system. This automatically pushes the updated level to Shopify at the Anfex Promptly location only. NY Warehouse 1 and Dumbo Showroom counts are never affected.
